The Administrative Coordinator position is an important role that significantly contributes to the overall organizational efficiency and effectiveness. This individual will embrace the importance of the daily routine tasks that are the backbone to any well-functioning office. This outgoing, detailed and technology-oriented team member will enjoy working collaboratively with others inside and outside of the organization, including serving as “frontline” staff with external constituents. The Administrative Coordinator maintains oversight of the CEO’s calendar and travel arrangements, development database, office management and administrative support to staff. This role is responsible for providing frontline customer service to WPP constituents.

EXECUTIVE AND DEVELOPMENT SUPPORT:

  • Manages CEO calendar and travel arrangements.
  • Provides administrative support to the CEO.
  • Administers gift entry and acknowledgment process for donors.
  • Oversee and maintain constituent record management in donor database.
  • Provide support to staff related to communication with WPP boards and committees.
  • Assists with preparing mass mailings.
  • Supports development team with event tasks.
  • Other duties as needed.

GENERAL OFFICE SUPPORT:

  • Answer and distribute incoming calls.
  • Welcome and assist guests visiting the WPP office.
  • Maintain appearance of all shared workspace to include reception area, conference rooms, storage/supply areas, copy room and kitchen.
  • Sort and distribute mail.
  • Keep inventory of, order and maintain office supply needs and manage requests.
  • Maintain office postage supply for general and development use.
  • Troubleshoot technical support matters with primary office equipment (copiers, scanning, and phones).

PROGRAM SUPPORT:

  • Provide general administrative support to Programs in select areas, including but not limited to:
  • Data entry for patient information system
  • Travel preparations for WPP teams, such as airfare bookings, creating travel documents and preparing clinic paperwork
  • Preparation of general organizational materials in support of program activities (presentations, WPP marketing materials, volunteer gifts, etc.

Required Qualifications:

  • Minimum of five (5) years of relevant experience in operations or administrative role in a fast-paced, entrepreneurial environment
  • Experience with providing executive support Proven collaborative experience being a part of a team and/or volunteer base
  • High energy and passion for philanthropy for a mission-based organization
  • Strong written and verbal communications skills with customer service-based experience a plus.
